Job Description

The Project Management Assistant (PMA) works closely with Project Managers (PMs) to assist with project setup, reporting, cash collection, change management and internal audits on a variety of projects, throughout the project lifecycle, whilst following company procedures. At inception, a role holder will be accredited as a PMA through our Workbench training (AECOM Project management systems).

Operations Support

  • PMA organises, documents and attends project reviews, including mandatory high risk “Tier 1” quarterly reviews with full attendance (finance, and operations) in accordance with internal policies and protocols;

  • Monthly meeting and reporting with PMs within the portfolio to review finances, forecasting and project progress, ahead of meetings with Performance Managers and Operations Unit Leads;

  • Supports the team to hit Data Quality Targets (DQI), end dates, meeting fiscal period deadlines;

  • Assists in preparation of non-financial audits;

  • Works closely with Lead PMA and Operations Performance Manager;

Reviews and Reporting

  • Runs reports and interprets data for PMs and the team in general;

  • Generates and shares best practices and procedures.

Project Life Cycle

  • Helps to set up new clients and suppliers in the financial system;

  • Assists with project set up and maintenance in Workbench;

  • Assists with regular forecasts (Estimate at Completion - EAC) in APIC;

  • Monitors adherence to processes and change management protocols regarding interface with operations, commercial, finance, legal teams, including obtaining permissions to work at risk etc.;

  • Raises invoices, makes sure that all projects have a billing schedule in a UK&I Unbilled Tracker;

  • Debt Collection – assists Credit Control to collect debt, checks clients have received invoices after issue;

  • Ensures accurate time recording across projects within the PMA portfolio;

  • Monitors non-labour costs have been correctly assigned to projects;

  • And any ad hoc duties as requested by Lead PMA and Operations Performance Manager.

Minimum Requirements

  • Experience working in administration, project administration and/or finance;

  • Excellent written and verbal communication skills at all levels;

  • Organisation skills to manage multiple requests and prioritise workload in a fast-paced and quick-changing environment (essential);

  • Ability to understand procedures and implement change;

  • Good analytical and problem solving skills (essential);

  • Ability to take initiative and ownership, self-motivated pro-active approach and ability to see things through to the end;

  • Ability to manage details, but also see a bigger picture;

  • Ability to be resourceful, hands on and work both independently and as part of high-performing team;

  • Ability to work independently as well as part of a team; willingness to work with multiple different colleagues on a variety of grades and abilities.

Qualifications

  • Excellent ICT skills - Excel, Outlook, Internet, etc.;

  • Experience working with Oracle based systems is preferable but not essential;

  • Good GCSE and/or A level or equivalents at both Maths and English;

  • Degree level and/or an accounting qualification are desirable, but not essential.
