Job Summary

AECOM Burnaby, is seeking an experienced Project Assistant to support our Global Oil & Gas Retail Program Team as well as providing support to our Global EPCM/FMC Program VP.

Job Summary:

Working directly with the Global O&G Client Manager & Global VP and the team providing support for such tasks as:

  • Relies on experience and judgment to plan and accomplish more complicated goals

  • Uses Advanced Word, Excel, PowerPoint, Outlook, and other programs to accomplish work

  • Provides general administrative support including answering/placing telephone calls, schedules meetings, booking boardrooms, researches non-technical matters, types reports, letters, specifications, memos and may compose routine correspondence

  • Prepares and proofs correspondence, forms, spreadsheets, and/or documents as well as preparing reports including the researching, compiling and summarizing of data

  • Provides contract administration support to Project Managers and team members using the AECOM Eco- System applications, as requested

  • Maintains routine and confidential records and files as per ISO 9001 and AECOM Quality Management System requirements including electronic and document filing for the Global O&G Client Program

  • Assist Project Managers and team members with basic information for GO/NO GO, B&P, SOQ’s and all PA forms including Project Plans, Health & Safety Forms and Record of File Folders for the Global O&G Client Program

  • Maintains and tracks Purchase Orders and other incoming documents from third parties for the Global O&G Client Program

  • Maintains appointments, schedules and team vacation planner

  • Will be responsible for coordinating, booking and tracking all Global O&G Client Program travellers as well as travel for the Global VP utilizing AECOM Preferred Travel Agency, Carlton Wagonlit Travel and ensuring all necessary approvals are in place in accordance to AECOM Travel Policies.

  • Gathers and processes expense reports for pre-assigned Global O&G Client Program Managers as well as handling Global VP Expenses and ensure they are submitted in a timely manner

Provides basic orientation for the Global O&G Client Program new hires

Minimum Requirements

College Diploma/ Certificate or equivalent experience

Minimum 2+ years of relevant experience

Experience working with construction related documentation

Proficiency using Microsoft Suite as well as SharePoint, PowerPoint, Adobe Creative Cloud ,PDF Editing, Webex Conferencing and Outlook365

Extensive Excel Spreadsheet experience required

Excellent communication skills both written and verbal

Excellent attention to detail

Ability to prioritize and multi-task in a fast-paced deadline driven environment

Preferred Qualifications

Previous Oil & Gas experience considered an asset
