Job Summary

AECOM is seeking a Planning Lead to join our IOL Kearl Project, Alberta. This is a full time position on a 10 day on, 10 day off rotation.

Steady state maintenance and shutdown/outage planning activities are performed to organize the work scope, resources, tools and materials to carry out work in a safe, efficient and cost effective manner. Job size, complexity, and criticality dictate the extent of planning effort. AECOM field planners cooperate hand in hand with client planners to reach the predefined targets set by the client management. Lead planner assumes the leadership position of both steady state and shutdown/outage planning to maintain safety, quality delivery of the pack and customer satisfaction. This memo outlines roles and responsibilities of AECOM lead planner to clearly delineate the duties defined by AECOM site management. It should be noted that roles and responsibilities indicated in this document is by no means inclusive of all the tasks a typical lead planner performs, but rather this memo sets guidelines to define activities that form the backbone of field lead planning effort conducted.

Roles and responsibilities:

  • Provide general supervision for steady state planners so that they can perform various routine maintenance planning activities to maximize operating profit, equipment reliability and reduce time using planned maintenance most effectively.

  • Understand the job plan detailing process and provide leadership in pack creation for the walkdown shutdown planners. The Shutdown planning process includes (but not limited to):

  • Receive initial field planning package and perform walkdown. Initial planning package includes: Work order/Notification, Life Saving Action identification, Management Of Change package, P&ID, ISO, datasheets, 3D model, at heights access screening form, walkdown scoping checklist, plot plan. Initial field planning package should be built to suit different work orders.

  • Interact with client maintenance coordinator/Operator to receive feedbacks and updated with regards to plan. The feedback and update could result in refined, more accurate job steps and material identification and quantification.

  • Compile and provide returned field planning package. Returned field packs include (but not limited to): walkdown scoping checklist, updated material list, operational steps, pictures, procedures, etc. Returned Field Planning Packages should be built to suit. Not all packages will require all the documents listed above, and some may require additional material. Client planner to inform Field Planner if there are any required documents that are missing and required for entry into client system and inclusion into final Job Package.

  • Providing leadership for steady state and shutdown/outage planning team as planning is at the frontline of customer interface

  • Perform quality surveillance audits on completed work packages

  • Interact effectively with AECOM/Client Steady State / Long Range / Short Range planning to help provide steps for removal/reinstate, labor, material and (their corresponding) costs for various types of maintenance work as required in the Work Orders. These types include long/short range corrective maintenance, break-in work orders, outage work orders as well as preventative maintenance job document preparations.

  • Work collaboratively with AECOM area planners and with other plant personnel (client planners, coordinators, operators, maintenance personnel, etc) to perform preventative, corrective and routine maintenance planning work while supporting the policies, goals, objectives of the company.

  • Verify effectiveness of any actions taken to resolve non-compliances.

  • Liaise with the other AECOM department (e.g. QC, material, sub-contracting, execution, etc.) on problems and any other important changes that may influence planned maintenance and shutdown activities

  • Review work order backlog to effectively allocate planning resource to different work orders as per client planning & scheduling procedures.

  • Represent AECOM professionally in client planning management meetings and help finding solutions in broader levels of planning management.

  • Identify potential improvement opportunities with Maintenance Management Systems and develop / implement process to improve the long term maintenance planning and scheduling effectiveness.

  • Effective communication among the team to maximize information flow from/to the client to/from AECOM walkdown planners.

  • Help creating comprehensive job package that can be used by executing front line supervisor (FLS) and can be attached to the work order.

  • To conduct active recruitment to maintain the integrity of the team. This includes working collaboratively with AECOM recruiting department to ensure recruiting the right resource for the planning department given the highly-dynamic nature of the team.

  • Displays knowledge and ability to practically apply economic, financial, marketing, planning, accounting, statistical and/or other management science theory to business issues.

  • To collaborate with site payroll and administration/onboarding to ensure flights/vacation/accommodation/timesheets are booked/delivered so that smooth onboarding/payroll activates can be carried out for planners.

  • To collaborate closely with HR department to ensure planners’ employment processes are followed as per AECOM HR policies.

  • To perform active resource leveling so that workload is fairly and reasonably distributed to the planning team to maintain quality delivery and customer satisfaction.

Minimum Requirements

  • Bachelor’s Degree + 8 years of experience or demonstrated equivalency of experience and/or education

  • Construction Safety Training Systems - 09 (CSTS-09)

  • First Aid - Standard Level Certification

  • This position will be required to drive a vehicle on behalf of AECOM and therefore will require the candidate to submit a satisfactory driver's abstract for review.
