Job Summary

AECOM’s Building Services (MEP) division are seeking an established administrator in St Albans to track and update our reports by assisting and managing our process of continued Technical Excellence, updating our technical library, organising internal events and using social media to inform our staff and the public of our initiatives. You will be a hub of contact with the task of knitting our varied teams together and improve our already established processes.

About the team:

The St Albans office comprises nearly 500 staff with approx. 100 in the MEP discipline.

The AECOM MEP team offers a full range of consultancy services, and has extensive knowledge and experience in the design, refurbishment, installation and commissioning of all types of buildings. We are a world-renowned business and our teams deliver landmark buildings across the globe.

Within the MEP Technical Practice group are our specialist departments for Lighting, Fire engineering, sustainability, Security and IT which your role will also contribute too.

Our wider multi-disciplinary teams across UK& I comprises specialists offering professional, technical and management services to public & private sector clients across all stages of projects from inception to completion and in use.

About the role and its responsibilities:

We are seeking an enthusiastic self-motivated person with experience of administration and supporting teams. You will need to be self-sufficient and driven to achieve results.

You will be reporting to the Technical Practice Lead and you will play a key role in helping us deliver a major programme of Technical Excellence Initiatives and role these out to the offices in the UK & Ireland, the role will also involve communicating across the EMIA region as well as globally within AECOM.

You will help raise the profile of the MEP team in AECOM both internally as well as externally.

You will liaise with our marketing department to assist with submissions for Industry Awards and where achievements can be publicised both in the main media and in the social media environment.

You will be confident when writing and marketing as you will help compile technical documents, presentations and ideally assist in some graphical document production. You will also Manage the content of our technical repository and ensuring updates are uploaded etc

You will administer our existing training programmes and records and help set up any new programmes for our Apprentices/Graduates as well as our qualified engineers.

Organising internal and external meetings including meeting room bookings, video conferences, training events organising refreshments and required facilities & where needed take minutes of meetings and help follow up the actions from the meetings.

Liaise with other discipline Technical Practise Groups within AECOM to help bring best practice to all.

The role will involve some travelling between St Albans and our London Office and there may be occasional travel to other offices around the country to liaise with other TPG members and their local administrators/support staff.

Where time permits you will provide support to the production teams for general administrative tasks such as reports, presentations, travel/accommodation, timesheets, incoming/outgoing post, archiving, stationary, scanning/photocopying etc

You will enjoy working in a close-knit team with the position based in St Albans where we have an active Sports and Social team.

Minimum Requirements

  • This is an experienced role so please only apply if you have recently held an administrative position which required autonomy and decision making.

  • Excellent ICT skills in Word, Excel, Power Point & Adobe Professional, experience with other packages such as InDesign and Visio would be an advantage.

  • Experience in a role that complements this position.

  • Organised and effective with high attention to detail

  • Be able to use social media for both internal and external communications.

  • Ability to use discretion and judgement when dealing with confidential matters.

  • Understand and implement company Safety Health and Environment Policy.

Preferred Qualifications

  • The individual should have excellent written, numeracy and verbal communication skills and be a team player.

  • Educated to GCSE/ or ideally A level Standard or equivalent with Maths & English at Grade C or above.

  • Ideally you will hold a UK passport as some documents/project work will require government security checking.

  • Some experience of invoice payments and budgeting will be an advantage.
