Job Description

Job Brief:

This role is accountable for providing exemplary support and administrative services to our employees. Key responsibilities include ensuring comprehensive support and training for Global Mobility team members to ensure accurate processing of all administrative and transactional activities. This entails strict adherence to governance, processes, policies, agreed performance targets, and service level agreements, all while delivering exceptional customer service. Additionally, the role involves providing subject matter expertise to the Global Mobility support team.

Responsibilities & Duties

  • Act as the Subject Matter Expert (SME) for the Global Mobility Tax and Operations Manila Team; provide guidance and technical expertise on systems and processes to team members and stakeholders to enable the timely performance of all global mobility support tasks in accordance with legislation and AECOM policy.

  • Contribute specialized expertise to assigned projects. Lead and drive where required and ensure effective communication to all leadership and all stakeholders.

  • Manage assigned global mobility tasks independently, ensuring employees and stakeholders receive appropriate resolution in a timely manner and all necessary follow up is carried out in line with legislation and AECOM policy.

  • Ensure adherence with standard protocols for electronic personnel file management and document storage; maintain confidentiality as applicable.

  • Utilize all HR systems including Workday and Employee Center including (Self Service, Knowledge base and Case Management) AssignmentPro CIGNA envoy and Deloitte Cobalt.

  • Develop and maintain an expert understanding of company policies to interpret and explain them effectively, without solely relying on the verbiage in the FAQ documents to resolve related inquiries.

  • Help in driving process improvement initiatives to streamline processes, improve customer experience, and increase productivity.

  • Perform complex tasks in compliance with service level agreement, process, policies, procedures, and SOX & internal controls.

  • Support team members in resolving routine issues and cases within the assigned processes timely and accurately; escalate to the Team Lead as needed and transfer cases when appropriate.

  • Support the Team Lead in effectively investigating issues, ensuring root cause is established and resolved, and preventative measures are applied. Complete incident reports and communicate with stakeholders.

  • Support in coaching and training team members. Provide guidance and technical expertise to junior members of the team on all matters.

  • Lead and participate in audit activities as required.

  • Create, update, or maintain SOP/DTP and process maps as needed.

  • Act as deputy for the Team Lead as needed.

Qualifications

Minimum Requirements:

  • Bachelor’s degree in human resources, any business-related course or equivalent relevant courses.

  • 5 years of relevant work experience in expatriate tax and/or global mobility, preferably for a Big 4 firm

  • Strong background and proven expertise in Global Mobility functions

  • Advanced proficiency in MS Office tools

  • Advance Working knowledge and understanding of HR Operations standards and procedures.

  • Expert in HR Systems preferably in Oracle, Workday, PeopleSoft, AssignmentPro and ServiceNow or other similar platforms and tools. Attributes:

  • Ability to be thorough and meticulous in completing assigned tasks and with the ability to propose ways to prevent or eliminate errors, discrepancies, and issues. (Attention to Detail)

  • Ability to develop and maintain excellent customer relationship with the ability to initiate ways to improve customer experience (Customer Service)
